How we handle your data

This explains how CrewSync handles the information you send us through the demo request form on this website.

Who is responsible

CrewSync is operated by Trampolinfilm AB, organisation number 556281-5661, Kastellgatan 24, 413 07 Göteborg, Sweden. Trampolinfilm AB is the data controller for personal data submitted through the demo request form.

What we collect

  • Your name, company and work email address.
  • Your phone number and message, if you choose to provide them.
  • Your crew planning spreadsheet, if you choose to upload one.
  • The date and time of your request.
  • To protect the form against abuse, a scrambled (hashed) version of your IP address, kept for no more than 24 hours. We do not store your IP address in plain form.

Why we collect it and how we use it

We use this information only to respond to your demo request, contact you, arrange the demo and, if you uploaded a spreadsheet, prepare a demo based on the way you currently plan your crew. We also send you one automatic email confirming that we received your request.

Submitting a demo request does not sign you up for newsletters or marketing emails. We do not sell your information.

Legal basis

We process the personal data necessary to respond to your demo request because you have asked us to provide information about CrewSync and arrange a demonstration of the service. Our legal basis under the GDPR is taking steps at your request before entering into a contract (Article 6(1)(b)). Where necessary for security and abuse prevention, we rely on our legitimate interest in protecting our website and services (Article 6(1)(f)).

Uploaded spreadsheets

Uploading a spreadsheet is optional. Crew planning spreadsheets may contain information about your personnel, such as names, work schedules and rotations, so we treat every uploaded file as private and confidential:

  • Files are stored in private storage that cannot be reached directly from the web, under a randomly generated name.
  • Files are never attached to emails and are never made available through a public link.
  • Only authorised CrewSync personnel can access a file, after signing in.
  • We use the file only to prepare your demo and do not share its contents with anyone else except service providers that process data on our behalf as described below.
  • Uploaded files are automatically deleted three weeks after upload, or sooner if you ask us to delete them.

Please only upload a file that you are entitled to share with us. We recommend removing information that is not needed for the demo, such as personal identity numbers, private contact details, health information or other sensitive personal data.

If your spreadsheet contains personal data about employees or other individuals for whom your organisation is the data controller, please contact us if you require a data processing agreement before uploading the file.

Who can access your information

Access is limited to authorised CrewSync personnel who need the information to handle your demo request. Our service providers may also process information on our behalf where necessary to provide hosting, email delivery, security and other technical services. They may only process the information in accordance with their agreements with us and applicable data protection law.

How long we keep it

  • Uploaded spreadsheets are automatically deleted three weeks after upload, or sooner if you ask us to delete them.
  • Demo request details are kept for three weeks after submission and are then deleted.
  • Anti-abuse records containing hashed IP addresses are deleted after 24 hours.

Service providers

  • Web hosting, database, file storage and email: Oderland AB, organisation number 556680-8746, Kungsgatan 56, 411 08 Göteborg, Sweden. Oderland provides the hosting infrastructure, database, file storage and email services used for the demo request service and processes this information on our behalf.
  • Spam protection: Cloudflare Turnstile (Cloudflare, Inc.) helps protect the form from automated abuse. Turnstile processes technical information such as your IP address and browser characteristics for this purpose. See Cloudflare's Turnstile Privacy Addendum.
  • Website analytics: Google Analytics is used only if you accept analytics cookies. We do not send the contents of the demo request form, your name, email address, phone number or uploaded file names to Google Analytics.

Your rights

Under the GDPR, you may have the right to access personal data we hold about you, have inaccurate information corrected, request deletion or restriction of processing, object to certain processing, and receive a copy of your personal data where applicable.

You also have the right to lodge a complaint with a data protection authority. In Sweden, the supervisory authority is the Swedish Authority for Privacy Protection (IMY), imy.se.
